# Automate tasks

> Schedule a recurring or event-triggered task and monitor its results.

Automate a review or repetitive task so Bold runs it on a schedule or when an event occurs. Each automation retains its own instructions, permissions and execution options.

## Before automating

Check that the task:

* has a clear goal;
* uses data available in Bold;
* can be reviewed through a traceable result;
* does not depend on ambiguous decisions without defined criteria;
* has a human owner.

## Configure the automation

**Path:** **Smart Factory > Automations**

  <Step title="Create the automation">
    Click **New automation**.
  </Step>

  <Step title="Assign a name">
    Enter a name that identifies the work, such as `Daily review of shop floor stops` or `Weekly low-stock check`.
  </Step>

  <Step title="Define the instructions">
    Specify the goal, the data sources to query and the result format.

    **Example:** “Review yesterday's MOs, identify unplanned stops longer than 15 minutes and produce a summary with the reason and affected station.”
  </Step>

  <Step title="Select the intelligence level">
    * **Low:** for simple queries or direct reads.
    * **Medium:** for regular analysis that needs to relate several data points.
    * **High:** for complex tasks that need more reasoning.
  </Step>

  <Step title="Configure execution">
    * In **Work mode**, use **Read only** to query data without changing it. Select **Allow changes** only if the automation should act in the system.
    * In **Clarification questions**, choose **Allow** so the automation pauses the task when it needs information. With **Don't allow**, it works with the available data.
    * Enable **Memory** if the automation needs to retain context between runs, such as to compare periods.

  <Step title="Define the triggers">
    Choose when it should run:

    * Click **Add scheduled** to specify a time and frequency, such as every day at 09:00.
    * Click **Add by event** to trigger it when one of the available events occurs. Add conditions if the event supports compatible properties.
    * Do not add a trigger if you will only start it manually with **Run now**.

  <Step title="Assign permissions">
    Grant only the access needed for the task:

    * Enable **View** in the areas it must query, such as **Employees** or **Files**.
    * Enable **Edit**, **Upload**, **Delete** or **Manage** only if it must perform those actions.
    * If you chose **Read only**, do not grant modification permissions.

  <Step title="Save and test the automation">
    Click **Save changes**. Then use **Run now** to test it manually. The test does not replace the configured triggers.

## Useful examples

| Automation | Expected result |
| - | - |
| Review orders at risk of delay | Prioritized list with likely causes. |
| Detect negative stock daily | Issues by item, lot and location. |
| Summarize the week's stops | Main reasons and affected operations. |
| Review pending receipts | Overdue orders by supplier. |
| Prepare a cost report | Significant variances by manufacturing order or work order. |

  Start with read and analysis automations. Add actions that change data only once the criteria have been tested.
