# View Power BI reports

> View and adapt Power BI reports using Bold data.

**Reports** use embedded Power BI to analyze Bold data through visualizations, filters and prepared fields. Use them for periodic analysis and indicator monitoring.

  Power BI reports are not a real-time view. They refresh according to the environment's schedule, typically at intervals during working hours.

## What you can do

| Action | Use |
| - | - |
| Open a report | View existing visualizations and filters. |
| Create a report | Start from Bold's predefined data model. |
| Duplicate a report | Create a copy to modify without changing the original. |
| Edit and save | Adjust fields, visualizations and filters when you have permission. |
| Export data | Extract data according to the capabilities enabled in the report. |
| Delete | Remove editable reports. This action cannot be undone. |

## When to use reports and when to use dashboards

| Analyze trends, compare periods or prepare reports | **Power BI reports**. |

| Investigate a specific record | The corresponding operational module, such as orders, stock or work orders. |

## Create or adapt a report

**Path:** **Smart Factory > Reports**

  <Step title="Choose a starting point">
    Open an existing report, create a new one or duplicate one you can adapt.

  <Step title="Edit visualizations">
    If the report is editable, click **Edit** next to the title. In edit mode, you can:

    * choose the visualization type from the side panel;
    * select or drag fields from the **Data** pane onto the canvas;
    * apply filters from the **Filters** pane;
    * configure views and their interactions.
  </Step>

  <Step title="Save changes">
    Save when the report represents the view your team needs.
  </Step>

  <Step title="Validate with real data">
    Compare the report with Bold records to confirm that filters, dates and units are correct.

## Permissions and integrations

| Open reports | Read access to reports. |
| Create, duplicate or delete reports | Edit access to reports. |

## Good practices

* Duplicate reports before making significant changes.
* Use names that describe their purpose, such as `Cost by asset` or `Weekly production`.
* Include visible filters for dates, area, item, asset or status when several teams use the report.
* Do not use Power BI reports for decisions that require live shop floor status.

## Common problems

| Problem | What to review |
| - | - |
| Data seems outdated | Review the model's latest refresh and use dashboards if you need real-time data. |
| A report does not appear | No reports may be available, Analytics permissions may be missing, or the plan may not include analytics reports. |
| You cannot delete it | Only editable reports can be deleted. |
| A filter changes the result too much | Review dates, record status, units and the fields used in the visualization. |
