A work order records a maintenance intervention on an asset. It explains what happened, why it happened, who intervened, how much time was spent, which actions were completed and which materials were consumed.

What it contains

Common statuses

Materials and traceability

Consumed materials connect maintenance to the warehouse and costs. If the item uses lots, record the actual lot used. The work order’s cost depends on materials, lots, quantities, time and employee hourly costs.

Preventive work orders

A preventive schedule can generate work orders automatically or manually. The generated work order remains actual execution; the schedule only defines when it should appear. You can open the schedule that generated it from the work order, even if deleted.

Comments

Comments record what happened during the intervention. Each comment stores the date, user and, in work mode, active employee. They support formatting and attachments.
  • You can add them from Maintenance > Work orders and work mode, including on completed work orders.
  • You cannot edit them. You can delete them only from Maintenance > Work orders.
  • You cannot add or delete them on canceled work orders.
Comments differ from work order notes, which describe planned work.

Undo completion

You can use Undo completion on a completed work order. It reopens and allows adding times, materials and actions. If it already had finished time records, it returns to Paused. If it had no times, it returns to Pending. You cannot reopen a canceled work order this way. You can complete the work order even if actions remain pending, unless any is mandatory. If you complete an action, you must record a valid result for its type.
